Terms of Service

Applies to PManager (the web application) and the accompanying PManager Discord bot. Last updated 22 September 2026.

1. Who we are and who these terms apply to

PManager ("we", "us", "the PManager team") provides a web application and an accompanying Discord bot for administering roleplay government services (e.g. police, ambulance) on FiveM roleplay servers. In these terms we refer to the web application and the bot together as "the Service".

The Service is used by a roleplay community or organization ("the Organization", e.g. the server's staff/leadership). Individual members who log in via Discord or interact with the bot are referred to as "Users". These terms apply to both the Organization and individual Users, each for the part that applies to them.

2. Nature of the Service

The Service is a roleplay tool. Any "police records" processed within it (e.g. reports, arrests, search warrants, license plates, a fictional national ID number) are fictional, in-game data belonging to a character on the roleplay server — not data from a real government agency. The Service is not a substitute for, and has no connection to, any real police, judicial, or government administration.

3. Account, access and security

• You log in to the web application via Discord OAuth. There is no separate password.
• Access to a specific instance of the Service is tied to membership of (and sometimes a specific role within) the Organization's Discord server. If you lose that membership or role, your access may be revoked automatically.
• The Organization decides for itself who gets access to which parts of the Service via roles/permissions (see permission management within the application). We have no influence over those choices.
• You are responsible for keeping your Discord account secure.
• Actions performed using your account are attributed to you, unless you notify us directly of unauthorized use.

4. Acceptable use

You use the Service solely for the roleplay purpose it is intended for. You may not:

• use the Service for anything other than administering the roleplay server you were granted access to;
• give access to, or share data with, anyone who is not entitled to it under the Organization's rules;
• attempt to bypass the security, authentication, or permission structure of the Service;
• overload, scrape, or make automated requests to the Service outside of its intended functionality;
• post real personal data of third parties (beyond the normal account data needed to participate) in roleplay content without that person's consent;
• use the bot in a way that violates the Discord Terms of Service or the Discord Community Guidelines.

In case of misuse, we — or the Organization — may restrict or revoke your access to the Service.

5. The PManager Discord bot

The bot is a companion to the web application and is added by the Organization to its own Discord server(s). To do so, the bot requests a number of Discord permissions (for example, reading messages in specific channels, managing roles, moving members between voice channels, and adding reactions) that are needed to power features such as notifications, arrest registration, complaint handling, training automation, and radio/dispatch synchronization. The bot only uses these permissions for the functionality that the Organization has enabled in its configuration.

Adding and configuring the bot on a Discord server (including which channels, roles, and features are active) is the Organization's responsibility. Discord itself is not a party to these terms; your use of Discord as a platform is governed by Discord's own terms.

6. Subscription, add-ons and payment (Organizations)

• An Organization obtains the Service through a subscription. An active subscription grants access to the core application; optional add-ons (e.g. MEOS, Porto, Ancillary, Training, Recruitment) can be turned on or off by the Organization itself.
• Billing, pricing, term, and payment method are agreed separately with the Organization and/or communicated via the payment channel used at purchase.
• When a subscription expires or is terminated, access to the Service for that Organization (and therefore its Users) may be suspended automatically.
• Cancellation, changes, or refunds are handled via the contact above, unless other arrangements were made at purchase.

7. Intellectual property

All rights to the software, source code, design, and brand name of PManager (web application and bot) belong to the PManager team. An Organization and its Users receive only a right of use for the duration of their subscription/access. Data that the Organization or its Users enter themselves (roleplay content, records, attachments) remains the property of the Organization.

8. Availability and changes

We do our best to keep the Service available and working, but we do not guarantee uninterrupted availability. Maintenance, updates, and outages (including at third parties such as Discord or our hosting provider) may cause temporary downtime. We may change, extend, or discontinue functionality of the Service.

9. Liability

The Service is provided "as is". To the extent permitted by law, we are not liable for indirect damages, consequential damages, or lost (roleplay) revenue/progress arising from the use or unavailability of the Service, including loss of in-game data, records, or Discord messages. Nothing in these terms limits liability that cannot be limited under mandatory law.

10. Termination

We may suspend or terminate the access of an Organization or individual User to the Service in case of (suspected) misuse, failure to comply with these terms, or at the end of a subscription. An Organization may, on its own initiative, deny a User access to its environment by revoking the relevant Discord role or membership.

11. Changes to these terms

We may amend these terms. A new version takes effect upon publication on this page, with an updated date at the top. For significant changes, we will try to communicate this via the Organization or in-app.

12. Governing law

These terms are governed by the laws of the Netherlands.
